PRIVACY NOTICE

This privacy notice describes how the British Horseracing Authority of Holborn Gate, 26 Southampton Buildings, London, WC2A 1AN (“the BHA”, “we” or “us”) will make use of data collected through https://www.thoroughbredawards.co.uk (the “Website”).

What information do we collect from you?

We collect and process personal data about you when you: register with the Website, submit a nomination for the Awards, contact us by email, phone or via the contact us page with a query and when you browse the Website.
Personal data we collect includes your name, contact details, telephone number, email address, your relationship to anyone you nominate and any other personal information you choose to share with us.

What information do we receive from third parties?

We receive information from third parties where you have been nominated for one of the award categories and from other sources such as employers, colleagues and the BHA’s racing administration systems for the purpose of considering and adjudicating nominations.
Personal data we collect includes, but may not be limited to, your name, email address, details of your current employer, position, Stable Employee Register (SER) number, length of time working in the British racing industry. We may also collect further information if the nominator has chosen to provide this to us as part of their nomination entry.

How do we use this information and what is the legal basis for this use?

We process the personal data described above as required by the BHA to conduct our business and pursue our legitimate interests, in particular:

  • in considering and adjudicating nominations and the administration of the Awards.
  • to contact any nominee who makes the Shortlist to inform them of the nomination.
  • to publicise a nominee’s name, job and details of their nomination or short-listing for one of the Awards on the Website, the BHA websites and on the Racing Post website (if the nominee does not contact the BHA to request otherwise).

We also process personal data for purposes required by law by informing nominees of their nomination, how their personal data is being held and their right to withdraw from the nominations process.
We may also use the information in response to requests by government or law enforcement authorities such as the police, if requested.

Who will we share this data with?

We will share information with third party service providers where required to ensure the functioning of the Website and the Awards, this includes Godolphin, the operator of the Website and the principal sponsor of the Awards.
We will share information with relevant law enforcement authorities where this is an appropriate course of action if mandated by law.
Your information may also be shared with the following third parties: judges involved in considering and adjudicating nominations; media partners such as the Racing Post for the purpose of publishing promotional material; and racecourses to enable them to administer invitations to events linked to the Awards.

What rights do I have?

You have the right to ask us for a copy of your personal data; to correct, delete or restrict (stop any active) processing of your personal data; and to obtain the personal data you provide to us for a contract or with your consent in a structured, machine readable format and to ask us to share (port) this data to another controller.

In addition, you can object to the processing of your personal data in some circumstances (in particular, where we don’t have to process the data to meet a contractual or other legal requirement).

These rights may be limited, for example if fulfilling your request would reveal personal data about another person, where they would infringe the rights of a third party (including our rights) or if you ask us to delete information which we are required by law to keep or have compelling legitimate interests in keeping. Relevant exemptions are included in both the UK GDPR and in the Data Protection Act 2018. We will inform you of relevant exemptions we rely upon when responding to any request you make.

How long will you retain my data?

The names of shortlisted nominees, finalists and winners are published on the Website, the BHA website and our social media channels. You can contact us using the details above, if you would like your name to be removed from these websites.
The BHA will delete the personal data of any nominee who is not chosen for the shortlist but may send a certificate to these nominees acknowledging that they were nominated for the award.

The BHA will process any personal data it holds for regulatory purposes in accordance with the privacy notices on the BHA website.
